The Licenses section lets you manage issuance, expiration, and archiving of users' licenses. You can register multiple licenses for each user and precisely monitor their expiration dates.
🔍 Access and visibility
Licenses are visible:
- In the user's profile tab, “Licenses”.
- In Account > Licenses, where an aggregated view is available.
Management (add, edit, renew, delete) is reserved for administrators and users with the “User Management” permission.
➕ Adding a license
To add a license:
- Click “Add”.
- Fill in the following fields:
- License type (e.g., First level).
- Number.
- Issue date.
- Expiration date.
- Ignore renewal: if set to “Yes”, the expiration will not be considered in notifications and in the expiration list.
- File: you can attach documentation in PDF format.
- Click “Add” to save.
🔁 License renewal
- Using the “Renew” button, you can update the data for an existing license without changing its history.
- The renewal creates a new record and keeps a history of renewals.
✉️ Automatic notifications
The system sends email notifications:
- To the affected user.
- To administrators.
- To users with the “User Management” permission.
Notifications are sent at the following intervals before the expiration date:
- 120 days
- 90 days
- 60 days
- 30 days
⚠️ If the license is set to “Ignore renewal: Yes”, the expiration will not be notified and will not be counted among user expirations.
⚙️ Additional notes
- Licenses are considered valid for SMART Teams and shifts only if they have an expiration date and have not expired.
- The license expiration affects the “expirations” popup shown next to the user's name on the user summary screen.
- You can edit or delete an existing license.
- Users can have multiple licenses registered at the same time.
- Sorting and filtering by expiration date or type makes management easier when many licenses are present.
