User expirations

The User Expirations section lets you monitor and manage key expirations related to users, such as medical visits, licenses, and certificates. Managing user expirations keeps mandatory documents and certifications up to date, with a notification system that ensures deadlines are met.

Accessing expirations

To view expirations, you must:

  • âś… Be an administrator, or
  • âś… Have the User Management permission

Expirations are not visible to users without specific permissions.

Types of expirations

Expirations are classified into different categories selectable from the drop-down menu:

  • All → Shows all expirations.
  • Medical visits → Expirations related to mandatory health exams.
  • Licenses → Expiration dates of user licenses.
  • Certificates → Certifying documents with limited validity.

Filtering expirations

  • You can filter expirations by selecting a custom date range.
  • The drop-down menu lets you choose the type of expiration to display.
  • The “Filter” button applies the selected filters.
  • The “Reset” button restores filters to default values.

Automatic notifications

Expirations are notified to:

  • 🔹 Users with management permissions (administrators or users with “User Management”).
  • 🔹 The concerned users (the user associated with the expiration).

đź”” Notification frequency

Notifications are sent automatically at these intervals:

  • 120 days before expiration.
  • 90 days before.
  • 60 days before.
  • 30 days before.
  • 3 days before.

This system ensures expirations are always under control, reducing the risk of missed renewals.

Expiration details

Clicking an expiration in the list lets you access full details, including:

  • Name of the associated user.
  • Expiration type.
  • Exact expiration date.
  • Any notes or attached documents.
